You should check into conference facilities that would provide all  meals and 
housing like Edith Macy conference center in Briarcliff, NY. There are  many 
facilities like this across the country. Also, UCLA has an affordable  
conference cetner in Lake Arrowhead, CA. You could then offer a conference for  an 
all inclusive price.
